Your record is yours. Registry integrity belongs to everyone. These standards govern how the MCS Registry protects your data, your membership, and the trust placed in every verified clinical experience record.

Data Ownership

Your clinical log entries belong to you. Your record is portable and remains yours regardless of employer. Registry integrity — the rules that keep every member's record trustworthy — belongs to everyone and is governed consistently across all accounts.

No Protected Health Information (PHI)

MCSR never collects patient identifiers. Do not enter patient names, dates of birth, medical record numbers, or any identifiable patient information. Logging forms capture track, case type, facility/site, duration, and notes only. Every logging form displays a no-PHI reminder.

Student vs. Verified Records

Student MCSR access is complimentary for perfusion students during a defined eligibility period. Student logs are private, non-PHI, and self-attested — they are not verified MCSR credentials and do not imply acceptance by any school, ABCP, or employer. Student reports are labeled: “Student Self-Attested Clinical Exposure Record — Not Verified by MCSR.” After the student period ends, accounts move to grace/read-only unless converted to paid membership.

Lapse & Reactivation

If a paid membership lapses, the account is frozen as read-only. You can still view existing records and export a basic historical report, but new logging, verification requests, and official reports are disabled. On reactivation, new logging begins from the reactivation date forward.

Retroactive / Backfill

Entries for a lapsed or unpaid period require a retroactive/backfill fee or missed-year payment to be recorded first. When backfilled entries are permitted, they are clearly labeled as retrospective/backfilled and do not imply continuous membership. Backfill fees are non-refundable once historical logging access or entries are used.

Refund & Activity Safeguards

Accidental renewal refunds may be considered within 60–90 days only if no meaningful account activity occurred in that paid period. Meaningful activity includes new logs, edits/imports, report generation, CSV/PDF export, verification requests, badge/certificate download, or official registry feature use. Once meaningful activity occurs, that membership period is non-refundable.

Verification

Admins review submitted logs and mark them verified, rejected, or needing correction, with reviewer notes visible to the member. Verification status is shown on every entry and on reports. Only verified entries carry “Verified” provenance; all others are clearly labeled self-attested, student, or retrospective/backfilled.

Audit

Registry records are maintained by MCSRegistry LLC and are subject to independent audit. Member numbers, status, generation date, and verification level appear on every report so records can be authenticated and traced.
